Import Respondents

This guide explains how to download the survey answer template, prepare your data, and import it into the system successfully.

Prerequisites

Download the Answer Template:

  1. Navigate to the Questionnaire section of the portal.

  2. Click Download Questionnaire to download the Import Respondents template.

  3. Save the file to your local drive.

Prepare the Template for Import:

Before entering data, carefully review the questionnaire in the portal.

  • Important: Mandatory Questions

    • Identify which survey questions are mandatory.

    • If a mandatory question is left blank in the template, the system will show an error during import.

    • To proceed, you must either:

      • Fill in the missing value in the template which are mandatory, or

      • Change the question to non-mandatory within the survey settings on the portal before import.

Fill in the Template:

Enter responses exactly as instructed in the template. Follow the data formatting rules below:

Question

Contains all survey questions.

Mandatory

Shows whether a question is mandatory.

Tags

Contains unique tags for each question used for backend processing.

Question Type

Indicates the type of question (Text, Single Choice, Multi Choice, Date).

Fill your response according to the specified type.

Options

Displays available options for each question.

Select answers only from the given options.

For text-type questions, you may enter any text.

Instruction

Date

Enter the date in DD/MM/YYYY format.

Text

Enter the required text response (e.g., name, father’s name, etc.).

Single Choice

Select only one option from the provided list.

Multi Choice

Select one or more options from the given list.

Separate multiple selections with a semicolon (;) — e.g., abc; cde; xyz.

After filling in all required fields, save the updated template to your local drive.

Import the Completed Template:

  1. Return to the Questionnaire section.

  2. Click the Import Respondent button.

  3. Browse and select the saved template file from your device.

  4. Upload the file to begin the import process.

Review the Import Summary:

Once the upload is completed:

  • Check the Import Summary to verify that all records were successfully added.

    • If any errors appear:

      • Review the error messages.

      • Correct the issues in the template (e.g., missing mandatory fields, incorrect formats).

      • Re-upload the updated file.

Successful Import:

After resolving all issues, your Respondents data will be imported and accessible within the portal.
