Reassign Respondents

This feature enables administrators or team leads to transfer respondents from one field worker to another. It is particularly useful in scenarios where field workers have left the organization and new workers have taken their place. By reassigning respondents, continuity in delivering applications and benefits to respondents can be ensured without disruption.


Steps to Reassign Respondents

Step 1: Log in to the Web Application

Access the web application using your credentials. Navigate to the State Dashboard or District Dashboard, depending on your access level.

Step 2: Locate the "Field Worker Assignments" Section

Once on the dashboard, you’ll see a section titled Field Worker Assignments.

Step 3: Select the User for Reassignment

Click on the field worker who has left or whose respondents you wish to reassign. In the grid, you will see the user’s status and the date they left, if applicable.

Step 4: Initiate Reassignment

Click the Reassign Respondents link next to the selected field worker.

Step 5: Apply Filters (Optional)

If needed, deselect or select filters for districts or blocks to narrow down the list of respondents. This allows you to work with either the full list or a filtered subset based on respondent locations.

Step 6: Select Respondents for Reassignment

Choose the respondents you want to reassign. You can select individual respondents or select all respondents listed.

Step 7: Review Respondents

Click the checkmark at the top of the grid. A popup will appear, displaying all respondents currently reporting to you, filtered by your state/province and district access.

Step 8: Assign to a New Field Worker

From the popup, select the new field worker to whom you want to assign the respondents.

Step 9: Confirm the Assignment

Click Assign to complete the process.

Step 10: View Confirmation

A confirmation message will appear, indicating that the reassignment has been successful. Note that the updated data will reflect on the dashboard within the next sync cycle, typically within 24 hours.


For the Field Worker

  • The newly assigned field worker will receive a notification on their mobile app.

  • They will be prompted to restore data within the app.

  • Once the restoration is complete, they will have access to the reassigned respondents and their associated applications and/or deliveries.


Important Notes

  1. Data History:

    • The system does not maintain a history of past enrollments or previous assignments.

    • Once respondents are reassigned, they are considered part of the new field worker’s operations.

  2. Operational Metrics:

    • All reassigned records are attributed to the new field worker, ensuring operational continuity but without historical tracking.


Additional Uses

This feature can also be leveraged to:

  • Clean up Test Data or Incorrect Records:

    • Leads can transfer test respondents or suspected malpractice data to themselves or to a non-tracked user for further investigation.

    • This ensures operational metrics remain accurate and free from invalid data.

By utilizing this feature effectively, administrators and leads can maintain seamless operations and ensure data integrity across the dashboard.
